Position Title: Head of the Facilities Management Sector
Department: Administrative Department, Facilities Sector
Location: Baku
Work Schedule: Full-time, 5-day work week

Key Responsibilities:

  • Planning and leading the implementation of the institution’s material and technical support activities;

  • Supervising the proper maintenance and operational condition of equipment, inventory, and utility systems;

  • Leading the preparation of technical specifications for the procurement of facilities supplies, materials, and spare parts;

  • Organizing warehouse operations and ensuring control over the receipt, storage, accounting, and use of material and technical resources;

  • Ensuring the efficient, purpose-oriented, and regulatory-compliant use of warehouse stock, monitoring balances, and maintaining optimal inventory levels;

  • Organizing and implementing internal control mechanisms over the circulation of material assets;

  • Taking measures to eliminate deficiencies identified during facilities management activities;

  • Developing and ensuring implementation of organizational and technical measures to guarantee proper use of the administrative building and warehouse areas in compliance with fire safety, sanitary-technical, occupational safety, and technical operation standards;

  • Leading inventory processes, including warehouse asset inventory, and ensuring annual reporting;

  • Professionally representing the institution at meetings, as well as local and international events related to the field of activity;

  • Coordinating the activities of sector employees, distributing tasks, and ensuring operational efficiency.


Candidate Requirements:

  • Education: Higher education (degree in Economics is preferred);

  • Work Experience: Minimum 5 years of relevant professional experience (at least 3 years in a managerial position);

  • Language Skills: English (B1), Russian (B1);

  • Experience working in public institutions;

  • Proficiency in MS Office and 1C software;

  • Strong written and verbal communication skills;

  • Analytical thinking, strategic planning, and management skills;

  • High sense of responsibility, initiative, and ability to work in a team.
